Version 1.0

This document is a draft prepared for BarBook.be and must be reviewed by a Belgian legal professional before it is relied upon. It is not legal advice.

1. Data controller

The controller of your personal data is [COMPANY NAME], company number [COMPANY NUMBER], [COMPANY ADDRESS]. Privacy questions: [PRIVACY EMAIL].

2. Information we collect

  • Account information: name, email address, password (stored securely, never readable by us), sign-in method.
  • Bartender profile information: profile name, photo, title, experience, specialties, languages, photos and videos, services, prices, working days, achievements.
  • Customer information: name, email, phone number.
  • Booking information: event type, date, time, location, guest count, hours, notes, chosen bartenders and packages, booking and payment status.
  • Communication information: chat messages between customers and bartenders, emails we send you.
  • Payment and billing information: payments are handled by our payment processor. We receive the payment status and amount, not your full card details.
  • Technical information: pages visited and an anonymous visitor identifier (only with your consent), and information needed to keep you signed in.

3. Why we process it and legal basis

  • To provide the platform and handle bookings — performance of a contract.
  • To process payments and keep accounting records — contract and legal obligation.
  • To keep the platform secure and prevent fraud and commission avoidance — legitimate interest.
  • To measure visits to the website — your consent (you can withdraw it any time).
  • To send marketing — only with your consent.

4. Public profile information

Information a bartender voluntarily publishes on their profile can be publicly visible: name or profile name, profile photo, experience, specialties, photos, services, reviews, working area and availability. Bartenders should not publish sensitive personal information (such as a home address, ID numbers, health information) on their public profile.

5. Data processors

We use service providers who process data on our behalf:

  • Hosting, database and authentication provider for the website.
  • Stripe, as payment processor for deposits and balances.
  • An email delivery service for transactional emails (booking and payment emails).
  • Google, only if you choose "Continue with Google" to sign in.

6. Data retention

We keep account data while your account exists. Booking and payment records are kept as long as required by Belgian accounting and tax law. Visit statistics are kept for a limited period.

7. Security

We use access controls, encrypted connections and restricted database permissions to protect your data.

8. Your GDPR rights

You have the right to:

  • Access your data
  • Correct your data
  • Have your data deleted
  • Restrict processing
  • Data portability
  • Object to processing
  • Withdraw consent at any time

To exercise your rights, contact [PRIVACY EMAIL].

9. Complaints

You may lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données).
